As you settle in, please take the time to carefully review the attached documents, which are essential for a smooth tenancy:
- Rental Agreement & Policies (Attachment B) — This document outlines important rules and regulations regarding rent payments, lease terms, maintenance responsibilities, parking, pet policies, noise restrictions, and other key provisions. Failure to comply may result in penalties or additional charges.
- Move-Out Inspection Letter — This document provides guidelines for vacating your unit, including cleaning requirements and damage assessments, to ensure a smooth move-out process.
- Dishwasher Maintenance Guide — Proper maintenance is crucial to keeping your dishwasher in good working order. Please follow these steps regularly to avoid potential repair costs.
- Heat Pump Manual and Maintenance Guide — Proper maintenance is crucial to keeping your heat pump in good working order. Filters should be cleaned every 3 to 4 months.
These documents contain essential information about your rights and responsibilities as a tenant. By signing the lease, you agree to abide by these terms. Attachment B — Rental Agreement & Policies (Schedule B)
The following is the standard Schedule B attached to every J&C Property Management lease.
- Provide a void cheque to the landlord for the pre-authorized monthly rent.
- A fee of $50 will be charged for any late rents if the rent is not received by the third of the month. The tenant must inform the landlord before the 28th of the month to have the rent held for the next month. Late payment must be made in cash and no later than the 5th of the month. A fee of $45 will be charged for any NSF cheques in addition to the $50 late rent charge.
- The tenant must give one (1) calendar month written notice to the landlord for month-to-month leases or three (3) calendar month notice for yearly leases for vacating/terminating the lease. (Example: notice given on or before January 31st for moving out on February 28th (or 29th) — for month-to-month lease; and on or before January 31st for moving out on April 30th — for yearly leases.) A late notice (on the 1st of the month or after) will result in an additional rent charge.
- The landlord has permission to enter the rental unit without notice to show the prospective tenants after receiving a notice to vacate/terminate the tenancy.
- The tenant is not allowed to bring any animals onto this property without the authorization from the landlord. If authorized, the pet(s) must not be let outside alone or tied to anything outside. The pet(s) may only be taken outside and through the halls on a leash and any feces must be disposed of immediately and properly.
- The tenant must park registered vehicle(s) in the assigned parking stall(s). Unregistered vehicles will be towed at the owner's expense. It is the tenant's responsibility to inform their visitors of proper visitor parking stalls.
- During snow storms, tenants must remove vehicles from the parking lot to allow for snow removal. If tenants, or their guests, do not move vehicles to allow for snow removal, these vehicles will be towed at the vehicle owner's expense. During the snow season, the tenant must make arrangements in advance with the landlord for promptly removing their unattended vehicle(s).
- The tenant must promptly remove snow from their balcony and patio after every snow storm, or be charged $100 for building management to clean the balcony and patio for safety and possible water damage reasons.
- No night parties or any noise that disturbs the neighbors at any time of day or night are allowed. The tenant is responsible for the actions of their guests or invitees.
- The tenant is not allowed to install satellite dishes or large home appliances such as a washer, dryer, window air-conditioning without written permission from the landlord.
- The tenant is not allowed to hang any flags, sheets, blankets or clothing in the balcony and is not allowed to place clutter on the balcony and patio.
- The tenant must maintain and keep apartment clean and in a good state of repair during the lease. It is the responsibility of the tenant to pay for any damages from the floor to the ceiling, and supplied appliances, electrical devices/fixtures in the apartment with the exception of normal wear and tear.
- When the tenant calls for maintenance orders, the maintenance worker can enter the apartment without notice within the first 3 working days. The landlord has the right to gain access to tenant's apartment in case of an emergency situation such as plumbing or electrical issues. The landlord will give as much notice as possible before entering the unit.
- The tenant is not allowed to paint or install wallpaper in the apartment. The tenant must return the unit to its original state and remove any decorations or shelves before moving out. Drilling holes or putting nails in the walls and wall-mounting televisions are also not allowed.
- Smoke alarms must not be disconnected and it is the tenant's responsibility to test the smoke alarms monthly within their apartment to ensure they are in proper working order.
- A minimum charge of $80 plus the cost of materials will be incurred for any repairs caused by the tenant's negligence, such as a plugged toilet or drain, broken windows or glass, or door jams, etc.
- The tenant will be charged $10 per key and $30 per electrical key fob for losing keys. Alternatively, the tenant can call Capital Lock and Safe at 458-9811 to have the locks re-keyed at their own expense. No other company is authorized to change or repair locks in the building.
- The building manager will charge a fee of $40 to unlock the apartment door if the tenant gets locked out. The tenant must pay this fee before the door is unlocked. The building manager has no responsibility to be available when a tenant is locked out.
- The tenant is responsible for reporting any maintenance issues to the landlord in a timely manner. Water must not be left running in the apartment or elsewhere in the building unless actually being used and supervised. To conserve water, the tenant must ensure all taps are turned off properly and not leaking. If there is a leaky faucet or running toilet, the tenant must contact the landlord for repairs as soon as possible.
- The tenant must inform the landlord by providing a written letter if they want to add additional people, pets or vehicles to the lease. The tenant must obtain permission before any additional people, pets or vehicles can move into the property.
- For safety reasons, the tenant must inform the landlord and make arrangements for any extended periods (over 7 days) that they will not be occupying the rental unit.
- The landlord is not responsible for damages or losses that occur due to fire, water, oil, steam, rain, snow, or neglect of the tenant, tenant's guests and other tenants. It is now mandatory for tenants to have insurance, and it is their financial responsibility to purchase insurance for their belongings should there be fire, water damage, or any other damages to their property within the rented dwelling.
- Smoking is not allowed inside the building. Cigarette butts must be discarded properly and not tossed onto ground (lawn, driveway, and parking lot). The smoking of medicinal marijuana, recreational drugs or any prohibited substances is not permitted in the rental unit or its surrounding property. Marijuana plants and vaping are not permitted inside the rental unit, on the balcony, or in common areas. Eviction notices will be given to those who do not comply.
- The landlord has permission to dispose of any tenant's items after they vacate, and the removal costs will be deducted from the tenant's damage/security deposit.
- The landlord is not responsible for damages or losses of any items (including the vehicle) stored by tenants in or around the property.
- Garbage should not be left anywhere except inside the dumpster provided outside the building. It is the tenant's responsibility to remove any large items (such as furniture, appliances) from the property or pay any charges associated with removal of any garbage and/or large items by the landlord or a third party.
- A joint inspection by the landlord and tenant is required at the end of the lease. The tenant must remove possessions and clean the apartment before the final inspection, and all light fixtures must have working light bulbs. The tenant must clean the fridge, oven, cooking elements, cupboards, cabinets, walls, wood trim, windows, doors, floors, sinks, toilets, bathtubs, light shades, fans, etc. It is the responsibility of the tenant to dispose of all discarded furniture and personal belongings offsite of the apartment building and surrounding property. No furniture and appliances should be left in the garbage dumpster or piled around it, as a fee of $400 will be charged. If the apartment is not cleaned according to the lease agreement, the landlord has the right to retain full or a portion of the damage/security deposit for professional cleaning services. The tenant must also return all keys to the landlord.
- In the event that the tenant decides to terminate the lease before its scheduled expiry date due to unforeseen circumstances, the landlord shall enforce a penalty. This penalty shall equate to either three months' worth of rent as a consequence of breaking the lease agreement or the total rent owed until the lease's original expiration date unless a new tenant is found before the said expiration, whichever is less. Please note that subletting is strictly prohibited.
- This rental apartment and the property are for residential use only. The tenant is not allowed to conduct any in-person business such as consulting, therapy, or studio, or the tenant will be evicted.
Move-out inspection guideline
Dear Valued Tenants,
To ensure a smooth and hassle-free process for both parties, please let us know your preferred date and time for the move-out inspection. During the final inspection, our main focus will be on evaluating the apartment's cleanliness and identifying any damages. To expedite the return of your security deposit, we kindly request your attention to the following areas:
- Stove: Please ensure a thorough cleaning of both the inside and outside, including the side walls and the floor underneath.
- Dishwasher and Fridge: Clean the interior as well as the floor beneath and behind the fridge.
- Bathtub & Sinks: Ensure they are spotless, free from any water stains or marks.
- Windows and Glass Surfaces: Wipe them clean to leave no marks or smudges.
- Cabinets: Please clean all surfaces without grease or stains.
- Heat-pump Filters and Ceiling Vent Covers: Ensure they are free from dust and dirt.
- Lights: Check that all lights are in working condition and without any dirt or grease.
In addition to the above, kindly conduct a general cleaning of the walls, ceilings, and flooring to maintain their pristine condition. Please ensure the ventilation covers are clean. Lastly, if your apartment has a balcony, please clean its surfaces and make sure not to leave any personal items behind.

Dishwasher maintenance guide
Dear Tenants,
To keep your dishwasher running efficiently and in good condition, we recommend performing regular maintenance every three months, especially if it is not used frequently.
Step-by-step dishwasher maintenance guide:
- Empty the Dishwasher — Remove all dishes and racks.
- Clean the Filter — Take out the dishwasher filter. Rinse it thoroughly with warm water and dish soap. Reattach the filter securely.
- Run a Vinegar Cycle — Place a dishwasher-safe bowl filled with white vinegar on the top rack. Run a normal hot water cycle with no dishes inside.
- Use Baking Soda for Deep Cleaning — After the vinegar cycle, sprinkle one cup of baking soda on the bottom of the dishwasher.
- Run a Second Hot Cycle — Start another empty cycle on the hottest setting. This helps activate the baking soda, eliminating any remaining residue and odors.
Additional maintenance tip: Running a hot water cycle regularly (recommended once per month) helps prevent odors, mold buildup, and drainage issues, ensuring your dishwasher stays clean and functions properly.

Heat pump — tenant operating & maintenance guide
Your apartment is equipped with a Panasonic heat pump system designed to provide efficient heating and cooling throughout the year. To ensure reliable operation and maximum comfort, please follow the guidelines below.
Recommended settings
- For the best balance of comfort and energy efficiency, we recommend using the AUTO mode.
- Set your desired room temperature and allow the heat pump to automatically adjust its operation.
- Avoid frequently changing modes or temperature settings, as this may reduce efficiency and comfort.
Using the remote control
- Always point the remote control directly toward the indoor unit when pressing any button.
- After pressing a button, wait for the indoor unit to respond before pressing another button.
- Pressing multiple buttons too quickly may confuse the heat pump's onboard control system and result in improper operation.
Cleaning the air filters
- Open the front cover of the indoor unit.
- Remove the air filters carefully.
- Vacuum the filters or wash them gently with lukewarm water.
- Allow the filters to dry completely before reinstalling them.
- Reinstall the filters and close the front cover.
Recommended cleaning frequency: every 3 months during normal use — more frequently if you have pets, excessive dust, or heavy system usage. Dirty filters can reduce heating and cooling performance and increase electricity consumption.
Cold weather operation — outdoor temperatures below −20°C
Heat pumps become less effective during extremely cold weather. When outdoor temperatures fall below −20°C, the heat pump may not be able to maintain comfortable indoor temperatures. During these conditions, please use the apartment's electric baseboard heaters as the primary heating source. This is normal and does not indicate a problem with the heat pump.
Resetting the heat pump
If the unit is not operating properly or appears unresponsive, you may perform a complete system reset:
- Locate the heat pump breaker in the electrical panel.
- Turn the breaker OFF.
- Wait at least 15 minutes.
- Turn the breaker ON again.
This procedure will completely reboot the heat pump's control system and often resolves minor operating issues.
If you need assistance
If you experience any difficulties with the heat pump, including unusual noises, error codes, poor heating or cooling performance, or operational concerns, please contact the landlord directly for assistance. Please do not attempt to disassemble, repair, or modify any part of the heat pump system.
